Problem: The class shows as full, yet another booking came through over the capacity limit.
Why this can happen
Zenamu behaves differently depending on the activity type:
Classes (open and recurring):
Capacity is strict -- Zenamu won't let a new participant in above the limit.
Exception: from the admin panel you can move a waitlist participant to a regular spot even above capacity. A confirmation dialog appears: "The class is at full capacity. Do you really want to move this waitlist participant to a regular spot above the capacity limit?"
Events (workshops):
From the admin panel you can add a participant above capacity. A warning appears: "Capacity is full. Do you really want to add another participant above the limit?" -- but it doesn't block the action.
Courses:
When the course is full, Zenamu shows "Course capacity is completely full" and blocks new bookings.
What to check
Who created the booking -- if it was created from the admin panel, it may have been a manual addition above capacity or a waitlist promotion.
Activity type -- events allow adding participants above capacity from the admin panel.
Cancellation in between -- between the time a spot appeared available and the booking was completed, a cancellation and re-booking may have occurred.
Current participant list -- compare the actual number of participants with the capacity set in the class detail.
How to resolve it
If the extra booking is fine operationally, keep it and let your team know.
If it's not, contact the extra participant and offer an alternative.
Consider increasing the capacity if you have the space and an available instructor.
Waitlist and waiting list
If you want to let clients sign up as waitlist participants when a class is full:
In Settings, enable "Allow waitlist sign-up when the class is at full capacity".
Clients will see: "The class is unfortunately full. You can sign up as a waitlist participant or set up an email notification in case a spot opens up."
Important: The waitlist feature is only available for clients with a pass or membership.
FAQ
Can a client exceed capacity on their own?
No. From the public page, it's not possible to book above capacity. Overbooking can only happen from the admin panel.
How do I prevent accidental overbooking?
For classes, Zenamu blocks overbooking automatically. For events, make sure the person adding participants consciously confirms the full-capacity warning.
