Class below minimum capacity: cancelling it manually instead of automatically

Zenamu supports automatic class cancellation when the minimum capacity is not met — available on the current Expert and Ultimate plans and during the trial (superseded plans such as Expert 2024 don't include it). You can enable it globally in Settings > Bookings and rules on the Booking cancellation tab, or fine-tune it per class in its Advanced booking settings.

Prefer to keep cancellations manual?

If you would rather decide about each class yourself, leave automatic cancellation off and handle it manually:

1. Monitor registrations in the class schedule

In the Class schedule, you can see the current number of registered participants next to each class. Click on a class to open its detail with the full list of participants.

2. Cancel the class manually

If the class doesn't fill up, cancel it from the class detail by clicking Cancel class. In the Cancel this class? window:

  • You can add a message for participants in Extra info for participants (email), which will be included in the cancellation email.

  • Registered clients will automatically receive a cancellation notification (if email notifications are enabled).

  • Everyone is refunded in full, with no cancellation fee. Card and PayPal payments are refunded automatically, and credits and entries used for the booking go back to the client's account.

  • Bank transfer payments aren't sent back automatically. The window lists the clients who paid by bank transfer, and you need to send them the money yourself.

Confirm with Yes, cancel. A class with no bookings is simply removed from the schedule.

3. Notify clients with a bulk message

Before cancelling, you can send a message to all registered participants directly from the class detail by clicking Bulk message. This way, you can let them know about the situation before the class is cancelled.
