Zenamu saves you time by automatically sending emails to both you and your clients. These include booking confirmations, new pass order notifications, schedule changes, and class cancellations -- all without any effort on your part.

Orders and Payments
Welcoming a New Client
This email welcomes clients who book a class, course, or workshop for the first time. It’s also sent when you manually add a new client in the admin panel under the client list.
Booking Confirmation
Sent immediately after a client books a class, course, or workshop. It includes details such as date, time, location, instructor, and payment method, along with a link to manage the booking.
Payment Confirmation
Sent when the instructor records a client’s booking as paid.
Waitlist Notification
When a spot opens up in a class, a client on the waitlist is automatically signed up and notified via this email.
Available Spots Notification
Clients who set up a "spot watcher" (available spot alert -- for example, if they didn't want to join the waitlist or your studio doesn't support waitlists) will receive this email when a spot opens up.
Online Class Access Information
Participants who have confirmed their payment receive this email an hour before an online class starts. It includes access details like the link to the live stream (e.g., Zoom, YouTube) and other relevant information. Updates to the link or details also trigger this email.
Changes in Instructor or Location
Sent to all signed-up participants when the instructor or location of a class changes.
Cancellation of Bookings
Cancellation of a Class, Course Session, or Workshop
Sent to all signed-up participants when a class, course session, or workshop is canceled. You can customize the message text when canceling.
Instructor-Initiated Cancellation
Sent when an instructor cancels a client’s booking (e.g., due to non-payment or a phone request after the cancellation deadline). You can customize the message text when canceling.
Client-Initiated Cancellation
Confirmation email sent when a client cancels their own booking.
Passes
Approaching Expiry Date
Sent two weeks before a pass expires, letting clients know they can extend their credits or entries by purchasing a new pass.
Expiry Notification
Sent immediately after a pass expires, letting clients know they can extend their credits or entries by purchasing a new pass.
Pass Added to Client Account
Confirms that credits or entries have been added to a client’s account. This happens when you manually add them in the admin panel under the client’s detail (e.g., when a client comes in with cash to purchase a pass).
Order Confirmation and Payment
Sent immediately after a client creates a pass order. Once payment is confirmed, a second email lets the client know their order has been marked as paid.
Emails to Studio Administrators and Instructors
For Studio Administrators
You can enable or disable the following three notifications in system settings under the Notifications section:
New Booking Notification
Sent when a new booking for a class, course, or workshop is made.
New Pass Order Notification
Sent when a client orders credits or entry passes.
Cancellation Notification
Administrators receive this email when a class booking is canceled.
For All Instructors
New Instructor Added
Sent to an instructor when you add them in system settings under Instructors and enter their email. If they don’t have a Zenamu account yet, the email includes a link to set up a password and gain access to manage the classes they teach for you (track attendance, send bulk messages to participants, etc.).
Reminder to Add Online Class Information
Sent one hour before an online class to the assigned instructor -- but only if the class is still missing a live stream link (e.g., Zoom, YouTube).
Reminder timing
Zenamu sends booking reminders to clients a set number of hours before the session. The available reminder intervals are predefined (e.g., 24 or 48 hours before the session).
Custom reminder intervals (e.g., 72 hours) are currently not supported. If you need to remind clients further in advance, consider sending a manual bulk message from the class detail.
