Setting Up Specialist Availability

Availability determines when clients can book an appointment with a specific specialist. Without configured availability, no available slots will appear on the public page. Zenamu offers two types of availability — regular (weekly) and irregular (for specific dates).

Regular (weekly) availability

Regular availability defines recurring time slots for each day of the week. You set it up once and it repeats automatically every week.

How to set up regular availability

  1. Go to Menu → Appointments → Specialists.

  2. For the chosen specialist, click Set availability.

  3. For each day of the week (Monday–Sunday), set the time ranges when the specialist is available.

Example

A specialist works on Mondays and Wednesdays from 9:00 to 12:00 and from 14:00 to 18:00. You would set two time blocks for Monday and two for Wednesday. Days when the specialist doesn't work are left empty.

Even and odd weeks

If a specialist has a different schedule in even and odd weeks, you can set availability separately for:

  • Every week — Availability applies every week.

  • Odd weeks — Availability applies only in odd-numbered weeks of the year.

  • Even weeks — Availability applies only in even-numbered weeks of the year.

This feature is useful for specialists who alternate schedules or work in two-week cycles.

Irregular (one-time) availability

Irregular availability is for exceptional or one-time slots that don't follow the regular weekly schedule.

When to use irregular availability?

  • A specialist offers extra sessions on a weekend.

  • You want to add availability for a specific date (e.g., a holiday, special event).

  • A specialist works irregularly and doesn't have a fixed weekly schedule.

How to set up irregular availability

  1. In the specialist's availability settings, go to the Irregular availability tab.

  2. Select a specific date from the calendar.

  3. Add time slots for the selected day.

Irregular availability completely overrides the regular availability for that day — clients will only see the times defined here.

How slots are displayed to clients

The system automatically divides your availability time blocks into specific bookable slots based on the selected service duration and configured buffers:

  1. The client selects a service (e.g., 60 minutes) and a specialist.

  2. The system takes the specialist's available time blocks.

  3. It subtracts buffer time before and after each appointment.

  4. It removes already booked slots.

  5. It displays the remaining available slots.

Example

9:00–12:00, service duration 60 minutes, buffer time after 15 minutes → the client will see slots at 9:00, 10:15, and 11:30 (no more, because another slot wouldn't fit with the buffer).

Recommendations

  • Set up regular availability for the specialist's standard working schedule. Configure once and it works automatically.

  • Use irregular availability for exceptions and special occasions.

  • Remember buffer times — If you need time between clients, set buffer times on the service so slots don't overlap.

  • The booking window at the service level limits how far ahead clients can see available slots.
