Zenamu offers two options for ending a course: canceling a single session or canceling the entire course with all its sessions.
Canceling a single course session
In the calendar, click the session you want to cancel.
Click Cancel this session.
In the "Do you really want to cancel this course session?" dialog you'll see:
- The number of active bookings and participants (split into full-course participants and single-session participants, if the course allows both options)
- A breakdown by payment method (card, bank transfer, on-site)
If some clients have make-up sessions from previously canceled sessions, you can check "Keep make-up sessions (don't remove)".
Confirm the checkbox "I will send money back, offer a make-up session, or provide other compensation." This confirms you'll settle things with the clients -- they paid for the session as part of the full course.
Write the email text for participants (e.g., "We're sorry, but this session is canceled due to illness.").
Choose whether the session should still be visible on the public calendar.
Click Yes, cancel.
Canceling the entire course and all its sessions
In the detail of any course session, click Cancel course and all sessions.
In the "Do you really want to cancel the course and all its sessions?" dialog, you'll see an overview of bookings and payments.
Note for bank transfers: Zenamu automatically sets the order status to "refunded" for clients who paid by bank transfer. Don't forget to actually send the money back.
A list of clients with bank transfer payments appears (name and link to the order).
Confirm the cancellation.
Important: After canceling the entire course, card and PayPal payments are not refunded automatically. Zenamu updates the order statuses, but you need to process the actual refunds manually or through your payment gateway.
Limitations
You cannot cancel an entire course at once if the course has already started and has active bookings. In that case, cancel sessions individually.
After cancellation, the course will display as "This course has been canceled and is no longer accepting sign-ups."
FAQ
What happens with payments when the entire course is canceled?
Orders from clients who paid by bank transfer are automatically set to "refunded." For card payments, you need to process refunds manually.
Do participants receive an automatic email?
When canceling a single session, yes -- you enter the email text in the dialog. When canceling the entire course, we recommend sending a bulk message manually.
Can a canceled session be restored?
No. Cancellation is permanent. If you need to replace a session, create a new one within the course using Add session.
