Courses: how to cancel a client's course participation and refund it

How to cancel one client's whole course order with Cancel course participation, what they get back, and how it differs from Cancel booking.

Cancel course participation cancels one client's whole course order, including the sessions that already took place, and the client gets back everything they paid. To cancel the client's booking for a single session only, use Cancel booking instead (see below). To cancel the course for all participants, see Courses: how to cancel a course early and notify participants.

How do I cancel a client's whole course order?

  1. Open the course detail and the Participants tab.

  2. Under Course participants, click Cancel course participation next to the client. In the collapsed row, the button is shortened to Cancel.

  3. In the dialog Do you really want to cancel the whole course order?, check the Refund amount. You can add a Note; the client sees it in the cancellation email.

  4. Click Cancel booking.

You can do the same in the detail of any session of the course: in the Course participants section, open the more (⋮) menu next to the client and choose Cancel course participation. If the client is marked as present for that session, click Mark as absent first. Zenamu doesn't offer the cancel actions for a client marked as present.

What does the client get back?

Cancel course participation cancels the whole order without a cancellation fee. What happens to the money depends on how the client paid:

  • Card or PayPal: Zenamu refunds the full amount automatically to the client's card or PayPal account. In the Participants tab, the button is greyed out for these orders once the course has started, with the note "Online payments (card, PayPal) for past classes can't be cancelled retroactively." In that case, refund the payment yourself in the Stripe Dashboard or in PayPal. Zenamu then cancels the client's course order automatically, even if you refund only part of the amount.

  • Pass entries or credits: the entries or credits go back to the client's account.

  • Bank transfer: the order shows Awaiting refund. Send the money back from your bank account, then click Confirm refund in the order details.

  • On-site payment: Zenamu marks the payment as refunded. Give the money back to the client yourself.

  • Membership, or an order that isn't paid yet: there's no money to return, so the order is only cancelled.

Cancel course participation or Cancel booking: which one do I need?

In the detail of a course session, a client booked for the whole course has two cancel actions:

  • Cancel course participation cancels the whole course order and refunds it, as described above.

  • Cancel booking (Cancel booking retroactively for a session that already took place) cancels the client's booking for that one session. Nothing is refunded and the course order stays paid. In the dialog, choose Cancel booking (no refund to client), or Cancel booking and credit 1 make-up session if the course allows make-up sessions and the client has an email address. Cancel booking is available only when the course order is paid.
