A make-up session is a replacement for one missed session: the client uses it to book another class or course session. Clients earn make-ups automatically only when they cancel their attendance for a session of a course they booked as a whole. Single classes, events, and appointments never earn make-ups automatically. You can also add a make-up to any client by hand.
To cancel their attendance, the client opens My courses in their own account, clicks Cancel next to the session, and confirms with Cancel attendance (or uses the trash icon in My bookings). This works only for a paid session that hasn't started, and the client gets a make-up only if they cancel before the Deadline for earning a make-up in your make-up settings, the course allows make-ups, and they haven't reached the course's make-up limit.
Make-up sessions aren't the waitlist (a queue for a fully booked class). Their Deadline for earning a make-up is also separate from the Cancellation deadline and cancellation fees for single classes, which you set under Sessions.
How do clients get a make-up session?
By cancelling their attendance for a course session: A client who booked a whole course gets one make-up session when they cancel their attendance for a paid session early enough, the course allows make-ups, and they haven't reached the course's make-up limit. You set this up in Settings > Bookings and rules > Booking cancellation > Courses, in the Make-up sessions card. "Early enough" means before the Deadline for earning a make-up in When clients earn a make-up, which applies to all courses with make-ups. Allow clients to earn make-ups in new courses only pre-fills new courses; each course has its own Allow receiving make-up sessions in its Make-ups section. Manual addition of make-up sessions: You can add a make-up session for a specific client from their Client detail, in the Make-ups section, as a form of compensation. This can be used in situations like when you cancel a one-time class, or when a client sends money to your bank account in advance but later cancels their booking. When you cancel a client's course booking from the admin, you can also choose Cancel booking and credit 1 make-up session.
Which classes can a make-up session pay for?
A client can use a make-up only on classes and course sessions where you allow it. You decide for each class or course:
Class: Allow payment with make-up sessions in Advanced booking settings is turned on by default for new classes. Existing classes keep their current setting. If you don't want make-ups used for a class, turn it off when creating or editing the class.
Course: when creating or editing the course, open the Make-ups section and turn on Session – allow paying with a make-up. A new course starts with the default you set in Allow make-ups as payment for individual course sessions (in Settings > Bookings and rules > Booking cancellation > Courses, under Other defaults for new courses). The course needs a Price per session pricing option for this.
The option isn't available on a class that's hidden from your public schedule or that clients aren't allowed to book themselves.
Turn off Allow payment with make-up sessions for a class, for example, when your regular classes are priced around €10 each but you also offer specialized classes at a higher price (e.g., €50 per class). You probably don't want a make-up session earned from a €10 class to be used for the more expensive one.
How does a client book with a make-up session?
Client account requirement:
Clients must have their own Zenamu account (created with an email and password) to use make-up sessions. After logging in, they can use a make-up session on any class that allows payment with make-ups. They click Book and select Book using a make-up.
2. Course pricing options:
To use make-up sessions for individual course sessions, the course must have the Price per session pricing option. If this option is missing, it means you've only set up payment for the entire course (as a series of consecutive sessions), and clients won't be able to use a make-up session for a single specific session.
How long is a make-up session valid?
You set the validity of make-ups from courses in Settings > Bookings and rules > Booking cancellation > Courses, in the How long make-ups are valid card. Under Validity, there are two options:
For a set number of days (30 days by default): enter the Number of days, counted from the date of the session the client cancelled their attendance for, not from the day they cancelled.
Until the course ends: the make-up stays valid until the course's last session, plus the number of days you enter in Extra days, but always for at least 5 days after the client cancels.
Example: Make-up validity is set to 14 days. A client cancels their attendance on May 1 for a course session that takes place on May 22. The make-up is valid for 14 days from May 22, so until June 5.
Each course has a Make-up validity option in its Make-ups section. Use default settings means the course uses the default validity from your booking settings, even after you change it later. Customize for this course means the course has its own validity, and changes to the default setting don't affect it. When you add a make-up to a client by hand in their client detail, you set its validity as you add it.
Which plans include make-up sessions?
You turn on make-ups by default for new courses with Allow clients to earn make-ups in new courses in Settings > Bookings and rules > Booking cancellation > Courses, and for individual courses with Allow receiving make-up sessions in their Make-ups section. Neither is restricted by plan. Maximum make-up sessions in a course, Max. make-ups per client in the booking settings, and the Customize for this course option for make-up validity are available on the Expert and Ultimate plans and during the trial. On other plans, these settings are disabled. A course that already has its own validity (for example, from when you were on a higher plan) shows it as read-only, and you can switch it to Use default settings.
