When does the system require billing information from clients?
Billing information is required automatically when your studio meets both conditions:
You have Issue Payment Receipts enabled (in Settings > Payments).
You are VAT-registered, or you are a registered business and chose the document type Invoice.
If you only issue simple receipts (simplified documents), client billing information is not required.
When billing information is not required: When paying with credits, a pass, or a make-up, no receipt is issued, so billing information is not needed. The same applies to price variants set to 0.
How does a client fill in billing information?
During purchase or booking
If your studio requires billing information, the form is automatically shown to the client during checkout. The client fills in their address (street, city, postal code, country) and the details are saved to their profile.
If a client enters an email that already exists in the system during booking, their billing address is pre-filled automatically.
In their profile
Clients can view and edit their billing information at any time in My Profile > Billing information. This information is shared across all studios where the client is registered.
How do I add billing information as an admin?
If you're adding an order for a client (credits, pass, membership, or booking) and the client doesn't have a billing address, you'll see a warning.
You have two options:
Add the billing address in the client detail and then continue with the order.
Continue without an address by clicking "I understand, continue without address". You can add the address later in the client detail or in the order detail.
Billing address on the order
When an order is created, a copy of the client's billing information is saved automatically. If the client later changes their address, previously issued documents keep the original details.
In the order detail, you'll find a Billing address section where you can view the saved data and edit it if needed:
If the order already has billing information -- the edit applies only to this order.
If the order has no billing information -- the edit is saved both to the order and to the client's profile.
Collecting billing information via custom form fields
You can also collect billing information from clients using custom fields in the booking form. Set this up in Settings > Class Booking > Custom Booking Form Extensions > Additional Questions for New Clients.
Note: If your studio requires a billing address (VAT-registered or "Invoice" document type), the system automatically displays the standard billing address form. Custom billing fields are then not needed and won't be shown to avoid duplication.
