Expired credits and entries: automatic removal and extending validity

This article explains what happens to a client's credits and entries when their validity ends, how the settings Automatically remove unused credits after they expire and Automatically remove unused entries after they expire work, and how to give one client more time. Gift vouchers and memberships have their own expiry and aren't covered here.

What happens when a client's credits or entries expire?

By default, expired credits and entries aren't deleted. They stay visible in the client's account, but the client can't book with them.

When the client buys credits again, the expired credits become usable again and are added to the new ones. Entries work the same way within one pass category: buying a pass from the same category reactivates the expired entries in that category. A pass from a different category doesn't. The new expiry date is the later of the current expiry date and the purchase date plus the validity of the new pack.

This default is intentional: it gives clients a reason to buy again even after their credits or entries have expired. If you'd rather expired balances stay gone, turn on automatic removal (see the next section).

How do I stop expired credits or entries from coming back?

Turn on automatic removal. There are two separate settings, and both are off by default:

  • Credits: go to Settings > Passes and memberships > Credit system and turn on Automatically remove unused credits after they expire.

  • Entries: go to Settings > Passes and memberships > Entry system and turn on Automatically remove unused entries after they expire.

With automatic removal on, Zenamu sets a client's credits or entries to 0 as soon as their validity ends. A later purchase then starts from zero instead of bringing the old balance back. For credits, the removal shows in the client's Credit history.

Automatic removal applies to every balance that expires after you turn it on, no matter when the client bought it. Credits or entries that had already expired before you turned it on stay in the client's account. Remove those by hand if you need to (see the next section).

How do I remove expired credits or entries from one client by hand?

Go to Clients and open the client's detail. In the Entries or Credits section, use Decrease to lower the balance. Let the client know why their balance changed.

How do I extend credits or entries for one client?

Go to Clients, open the client's detail, and in the Credits or Entries section choose Change validity. Set the new expiry date. Entries have a separate expiry date for each pass category, so change the one the client needs.

There's no bulk extension in the admin: you change validity one client at a time. Clients can also extend their own validity by buying another credit pack or pass, as described above.
