The booking detail is the main screen for day-to-day operations in the Appointments section. This guide shows you what you'll find there, which actions to use, and in what order. To open a booking detail, go to Appointments > Bookings and click the booking in the table (or choose View details in its actions menu). Booking statuses, manual approval and cancellation are explained in more detail in Appointments: managing bookings.
What you'll see in the booking detail
Service information, date, time, and duration.
Booking status: Pending, Confirmed, Completed, Cancelled or No-show.
The linked order and payment information.
Client, specialist, and location.
The Internal note, if you wrote one when you created the booking with Add booking. The internal note belongs to this one booking. It isn't the same as the Notes in the client detail and isn't copied there.
Main actions in the detail
Approve or reject a pending booking
For bookings awaiting approval, click Approve to confirm the appointment, or Reject request to decline it. When you reject a request, you can add an optional Reason for rejection, and the client is notified by email.
Cancel a booking
Click Cancel booking. In the dialog, you can add a Note with the reason and write an Email message for the client. The system will evaluate the cancellation logic based on your settings and the payment method.
Mark as no-show
Use this when the client didn't show up. The No-show button appears only for a confirmed booking after the appointment start time has passed, and only if the booking still isn't paid (Awaiting payment). After you confirm, the booking gets the No-show status, its payment is marked as Unpaid, and the client is marked as a client with unpaid orders.
Change the specialist or location
For editable bookings, you can switch the specialist or location without having to create a new booking. Click the pencil icon next to Specialist or Location, choose the new one and click Save. You can pick only a specialist who is assigned to the booking's service and has no other booking at that time. Zenamu notifies the client about the change by email automatically.
Send a custom message to the client
The message isn't sent from the booking detail itself. In Appointments > Bookings, open the actions menu of the booking in the table and choose Send message. Write the Message, optionally choose a specialist under Send a copy to the specialist, and click Send message. The option is shown only if the client has an email address.
Tip: Use internal reasons and a consistent communication style. This makes handoffs between reception, specialists, and management much smoother.
Common scenarios
A booking is still pending and the appointment is approaching
Decide as soon as possible (approve or reject) so the client isn't left waiting without information. If a pending booking isn't approved before the appointment starts, Zenamu cancels it automatically.
A client calls to say they can't make it at the last minute
Cancel the booking from the admin panel, add a reason, and check the cancellation result in the order.
A specialist is sick and I need a replacement
Change the specialist in the booking detail. Zenamu emails the client about the change automatically; send a custom message only if you want to add more information.
The replacement specialist must have the relevant service assigned to them and be free at that time.
FAQ
When does the no-show action appear?
For confirmed bookings after the appointment start time has passed, as long as the booking still isn't paid.
Why can't I change the specialist or location?
You can change them only for upcoming bookings that aren't cancelled or marked as a no-show. Past appointments can't be changed. You also need the Manager or Administrator permission.
When should I send a custom message?
Whenever there's a change that affects the client (time change, logistical instructions). Changes to the specialist or location are sent to the client automatically.
