Not every team member sees the same options in the Appointments section. This article explains who can do what in the booking detail and why some buttons may not be visible.
Why this matters
Permissions in the booking detail protect both your operations and sensitive data. They typically control:
Who can change the booking status.
Who can change the specialist or location.
Who can see the client's contact details.
Roles overview
Studio administrator
Has full access to manage bookings in the Appointments section — approving, cancelling, editing booking details, and all operational actions. Can see bookings for all specialists.
Studio manager
Can manage bookings — cancel, approve, and edit details. However, does not have access to studio settings (instructor management, payment methods, etc.).
Instructor (specialist)
Can only manage bookings assigned to them. Cannot see other specialists' bookings and does not have access to other parts of the system.
Contact details permissions
Viewing a client's email or phone number may be restricted by a separate permission. This means a user might see the booking but not the client's contact information.
How this appears in the interface
The user doesn't see an action button (e.g. changing the specialist or location).
The user sees the booking detail but without some information.
The user can only work with their own bookings.
Common scenarios
A manager doesn't see the same options as an administrator
Check the account's role and any restrictions on access to client contacts.
An instructor doesn't see other specialists' bookings
This is expected behavior. An instructor with basic permissions can only manage their own assigned appointments.
I can't see the client's email in the detail
You most likely don't have the permission to view contacts. Check the permission settings for the given instructor.
Tip: Set up a simple internal rule: who handles approving and cancelling bookings, who communicates with clients, and who has access to contact details.
