Zenamu saves you time by automatically sending emails to both you and your clients. These include booking confirmations, new pass order notifications, schedule changes, and class cancellations — all without any effort on your part. This article lists these automatic emails and shows which ones you can switch on or off in Settings › Notifications. Client notices displayed on your public schedule aren't emails and are described in Client notices: how to create, edit, and display on the public schedule.
Emails to Clients
Orders and Payments
Welcoming a New Client
This email welcomes clients who book a class, course, or workshop for the first time. It’s also sent when you manually add a new client in the admin panel under the client list.
Booking Confirmation
Sent immediately after a client books a class, course, or workshop. It includes details such as date, time, location, instructor, and payment method, along with a link to manage the booking.
Custom message in the first-booking confirmation
In Settings › Notifications, below the email notification switches, you'll find the field "Custom message for the first-booking confirmation email". Whatever you write there is added to the booking confirmation email.
It's worth knowing exactly when this message goes out, because it surprises a lot of studios:
It only reaches a brand-new client — someone who isn't in your client list yet — and only on their first booking. Existing clients won't get it with their next bookings.
It's attached to booking confirmations for classes, courses, workshops, and appointment services. It is not added to emails about pass or membership orders.
It's available on all plans.
Tip: Need to reach one specific group of clients instead? Open the class detail and use Bulk message — it goes to everyone booked onto that class, no matter how many bookings they've made before.
Payment Confirmation
Sent when the instructor records a client’s booking as paid.
Waitlist Notification
When a spot opens up in a class, the first client on the waitlist is automatically booked in and notified via this email. This email is always sent — there's no setting to turn it off, and there's no SMS version of it.
Free spot notification ("Notify me")
On a fully booked class, clients (including guests without an account) can click Notify me and leave their email address — for example, if they don't want to join the waitlist or the class has no waitlist. When a spot opens up (for example, someone cancels) and nobody is waiting on the waitlist, everyone who clicked Notify me gets this email at the same time. Nothing is booked automatically: whoever books first gets the spot. Clients who haven't booked yet get the email again the next time a spot opens up, and the email contains a link to stop these alerts.
Online Class Access Information
This email reminds participants of an upcoming online class. It's sent when Online class reminder is switched on in Settings › Notifications, at the time chosen in Remind before (1 hour before the class by default). Participants whose booking is paid get the access details, like the link to the live stream (e.g., Zoom, YouTube), in this email. Updates to the link or online details also trigger an email to booked participants.
Changes in Instructor or Location
Sent to all signed-up participants when the instructor or location of a class changes.
Cancellation of Bookings
Cancellation of a Class, Course Session, or Workshop
Sent to all signed-up participants when a class, course session, or workshop is cancelled. The email contains a standard cancellation notice, which you can’t change, followed by your own message. You write the message when cancelling, in the field Extra info for participants (email) (for a course session or an event: Additional information for participants (email)); it’s pre-filled with a short apology that you can edit.
Instructor-Initiated Cancellation
Sent when an instructor cancels a client’s booking (e.g., due to non-payment or a phone request after the cancellation deadline). The email contains a standard cancellation notice, which you can’t change. If you fill in the optional Note field when cancelling (e.g., the reason for cancellation), your note is added below it.
Client-Initiated Cancellation
Confirmation email sent when a client cancels their own booking.
Passes
Approaching Expiry Date
Sent two weeks before an entry pass or a credit pack expires, as long as the client still has unused entries or credits. It shows the expiry date and the current balance. If Automatically remove unused entries after they expire (for passes) or Automatically remove unused credits after they expire (for credit packs) is switched off, the email also invites the client to extend it by buying another pass or credit pack. If the switch is on, this invitation is left out.
Expiry Notification
Sent right after an entry pass or a credit pack expires. Its text depends on two switches in your pass and credit settings, Automatically remove unused entries after they expire and Automatically remove unused credits after they expire:
Switch off (default): the email says that the client's unused entries or credits roll over automatically if they buy a new pass or credit pack.
Switch on: the email says that the unused entries or credits have been removed from the client's account, and invites them to buy a new pass or credit pack.
Pass Added to Client Account
Confirms that credits or entries have been added to a client’s account. This happens when you manually add them in the admin panel under the client’s detail (e.g., when a client comes in with cash to purchase a pass).
Order Confirmation and Payment
Sent immediately after a client creates a pass order. Once payment is confirmed, a second email lets the client know their order has been marked as paid.
Emails to Studio Administrators and Instructors
Which emails to instructors and administrators can I switch on or off?
Go to Settings › Notifications. The box Email notifications to instructors has a switch for each of these emails:
New booking
The instructor assigned to the session gets an email when a client creates a new booking (classes, courses, events and workshops, appointments). Depending on your plan, there's also an extra switch Copy to "Administrator" that sends these emails to administrators too.
Booking cancellation
The instructor assigned to the session gets an email when a client cancels their booking. Depending on your plan, Copy to "Administrator" can send these emails to administrators too.
Pass order and Membership order
The instructor with the "Administrator" role gets an email as soon as a client creates a pass order or a membership order. Each has its own switch.
New client
Everyone with the "Administrator" role gets an email the first time a new client makes contact with your studio — when they register, book for the first time, or make their first purchase. Clients you add to the studio yourself don't trigger the email.
Class reminder for instructor and Daily overview for specialist
Class reminder for instructor sends the assigned instructor a reminder before a class, course session, or event, with the list of currently registered clients. You choose the time in Remind before (predefined times between 1 and 15 hours before the start; 2 hours by default). Daily overview for specialist sends a specialist a daily overview of all their appointments for the day.
For All Instructors
New Instructor Added
Sent to an instructor when you add them in Settings › Instructors and collaborations and enter their email. If they don’t have a Zenamu account yet, the email includes a link to set up a password and gain access to manage the classes they teach for you (track attendance, send bulk messages to participants, etc.).
Reminder to Add Online Class Information
Sent one hour before an online class to the assigned instructor — but only if the class is still missing a live stream link (e.g., Zoom, YouTube).
When are reminders sent to clients?
Client reminders are set in Settings › Notifications, in the box Email notifications to clients. Each reminder has a switch and a Remind before option with predefined times:
In-person class reminder (classes, courses, events and workshops) and Appointment reminder for client share one Remind before setting: 1, 2, 3, 4, 5, 6, 12, 24, or 48 hours before the start (24 hours by default).
Online class reminder has its own Remind before setting: 15, 30, or 45 minutes, or 1, 2, 3, 4, 5, 6, 12, 24, or 48 hours before the start (1 hour by default).
Custom reminder intervals (e.g., 72 hours) are currently not supported — the longest option is 48 hours. If you need to remind clients further in advance, consider sending a manual bulk message from the class detail.
Studios in Czechia and Slovakia also see the box SMS notifications to clients with Class cancelled and Class reminder before start (with its own Remind before setting).
How automated emails appear to your clients (branding)
Many studios ask whether system emails carry the studio's brand or look "from Zenamu". Here's exactly how they appear in your client's inbox:
Sender address — emails are always sent from
[email protected]. A custom sender domain (e.g.,[email protected]) is not supported at this time.Subject line — your studio name appears directly in the subject of most notifications, so the email is clearly tied to your brand.
Email footer — every automated message includes your studio name and contact details in the footer.
Reply-to — replies go back to the address in the Email field in Settings › Schedule page (on the Public schedule tab), so clients reach you directly.
Note: Because automated emails are sent from a Zenamu address, please make sure your clients don't mark them as spam — once an address is repeatedly flagged, our delivery system may block further messages to that address (including password reset emails). If a client tells you they aren't receiving emails, ask them to check the spam folder and unmark any Zenamu messages first.
