A participant waiver (often called a liability waiver) lets you require clients to confirm important information and sign it digitally before booking (e.g., health status, informed consent, liability acknowledgment). This article walks you through the entire process — from creating a waiver to handling situations where a client hasn't signed the current version, and where to find the answers clients gave. It isn't about your terms and conditions, which clients accept with a checkbox, or about extra questions in the booking form (see Custom Fields in the Booking Form).
What is a participant waiver and when is it used
A participant waiver is a standalone declaration tied to a booking.
It can be required for online bookings as well as bookings created from the admin panel.
If a client hasn't signed the current version, their booking may be blocked.
Participant waivers are available on the Expert and Ultimate plans and during the trial.
Setting up a waiver template
Go to Settings › Schedule page and open the Participant waiver tab.
Click Create waiver and fill in the Form title, the Waiver text and the Form fields (at least one field). A signature field is added automatically.
Add all required fields that should be filled out before signing.
Use Preview to verify that both the text and the fields make sense from the client's perspective, then click Save.
Turn on Require clients to complete this form on the same tab. The switch is available once a waiver exists.
Test the flow with an actual booking.
Tip: Keep your waiver concise and easy to understand. A long or unclear text increases the number of abandoned bookings.
Waiver versions and why the change reason matters
When you edit an existing waiver (Edit waiver), a new version is created. Previously signed waivers stay on file, but every client — including those who signed an older version — has to sign the current one.
When editing, fill in the required Reason for the change field (for internal change tracking).
Communicate significant changes to your clients ahead of time.
After publishing a new version, check the public booking form.
Signing the waiver during booking
If a waiver is active, the client confirms their consent and fills in the required data, including their signature, during the booking process.
Client has a current signature
The booking continues normally without any block.
Client does not have a current signature
The system asks them to complete and sign the waiver. The booking cannot be finished until this is done.
Override in the admin panel — creating a booking on behalf of a client
When creating a booking from the admin panel, you may encounter a situation where the client hasn't signed the current waiver. In that case, the booking form shows Client has not signed the current waiver. Enter a reason in the text field and click Confirm override to proceed. The button stays inactive until you enter a reason.
When to use an override
Exceptional operational situations (e.g., a last-minute phone booking).
The client has already given consent through another channel and the signature will be added later.
When not to use an override
As a routine shortcut instead of getting the actual signature.
If you're unsure about the legal or operational implications.
Important: Using an override means you are knowingly proceeding with the booking without a current waiver signature.
Where can I see the answers clients gave in the waiver? Can I export them?
You can view each client's signed participant waiver, including the answers to your form fields, in two places:
Clients › Participant waiver column: click the eye icon next to a client who has signed the current version.
Client detail › Waiver status: the current signed waiver, and older versions under History.
The Signed waiver window shows the answers under Submitted information, together with the signature. Click Download PDF to save that one signed waiver. The column and the section appear only while Require clients to complete this form is on.
Waiver answers can't be filtered or exported in bulk. The client list only shows whether a client has signed the current version, and neither the client export (Download CSV file) nor the attendee export of a class contains waiver answers. So if you add a newsletter checkbox to your waiver, you can't get a list of the clients who ticked it. For newsletter consent, use the built-in marketing consent instead — you can filter it and export it (see Download Your Zenamu Contacts as a CSV File).
Common problems and solutions
"The booking won't complete"
Check whether the client has signed the current version of the waiver and whether all required fields are filled in.
"The client signed before, but the system is asking for a signature again"
A new version of the template was likely published. A signature on an older version does not count as a signature on the current one.
