Tags and notes on client profiles serve different purposes, but they often get mixed up in practice. This article helps you decide when to use which. It covers the Tags and Notes sections in the client detail. It isn't about the Internal note on an appointment booking, which belongs to that one booking (see Appointments: booking detail step by step).
The core difference
Tag — a short label for categorizing and quickly filtering clients (e.g. VIP, corporate client, prospect). When a client books a class, course or event that has tags, Zenamu adds those tags to the client automatically.
Note — a detailed record on a client: communication history, individual arrangements, specific requirements. Answers to Extra questions for new clients are also added to the client's notes automatically after their first booking.
Where do I add tags and notes to a client?
Click Clients in the sidebar and click the client to open the client detail.
Tags: in the Tags section, click the + button. Type the tag name (existing tags are offered as you type), pick a color and click Save.
Notes: in the Notes section, click the + button. In Add note, write the Note, choose its Type (Information or Warning) and click Save.
To find clients with a tag, filter the Tags column in the client list. Notes can't be used as a filter.
Best practices
Keep the number of tags limited (ideally 10–15 active ones).
Name tags briefly — one or two words.
In notes, include clear context: what happened, what the next step is.
Common scenarios
I want to quickly filter clients for follow-up communication
Use a tag. Searching and segmentation will stay consistent for you and your colleagues.
I need to pass operational info about a client to another instructor
Use a note. Write a brief summary of the decision, the reason, and the date.
Important: Tags are for categorization, notes are for recording context.
FAQ
How many tags should I have?
For most studios, 10–15 active tags works well. More than that tends to become hard to maintain over time.
Where should I put a one-off piece of information about a client?
In a note, not a tag.
Can I edit tags and notes later?
Yes. In the client detail, edit a note with the pencil icon or delete it with the trash icon. To remove a tag from a client, click the × on the tag. A tag can't be renamed on the client, so remove it and add a different one instead.
Is a note the same as the internal note on a booking?
No. Notes belong to the client and stay in the client detail for all their bookings. The Internal note belongs to one appointment booking: you write it when you create the booking with Add booking in Appointments > Bookings, and it's shown in that booking's detail. It isn't copied to the client's Notes.
