Visibility of a class, course, or event: Public, Link only, or Private

Visibility decides where a class, course, or event (workshop) shows up and who can book it. You set it in Advanced booking settings when you create or edit the item, and you can choose Public, Link only, or Private. Changing the visibility is not the same as cancelling, and it is not the same as Don't let clients book, which leaves the visibility as it is and only switches off online booking.

Where do I set the visibility of a class, course, or event?

Open the class, course, or event for editing, or start creating a new one, and find the Advanced booking settings section. The section is collapsed by default, so click it to expand it. Visibility is one of the settings inside, with the options listed one under another. It is available on every plan.

What do the three visibility options do?

  • Public — shown everywhere: on your public schedule, in your offer, and in the booking widgets on your website.

  • Link only — visible and bookable only through the direct link. It is not on the public schedule, not in your offer, and not in the widgets, but anyone who has the link can open it and book a spot.

  • Private — not shown anywhere, and clients can't book it themselves. Only you can book clients in, from the admin.

Link only and Private are the two that get mixed up most often. Both take the class, course, or event off every public listing, but Link only keeps online booking working for everyone who has the link, while Private switches client booking off completely.

Events and workshops have only two options, Public and Link only. An event can't be set to Private.

Note: Changing the visibility is not the same as cancelling. It only changes where the class, course, or event shows up and who can book it — existing bookings, payments, and attendance records stay exactly as they are.

Where do I find the link for a Link only class, course, or event?

Open it in the admin and go to Share event. The direct link is there, ready to copy. You decide who gets it: send it by e-mail, in a message, or post it in a closed group. Everyone who opens the link sees the page and can book a spot, so the link itself is what controls access.

How do I keep a class or course where it is, but stop clients from booking it?

Classes and courses have a separate checkbox in the same Advanced booking settings section:

  • Don't let clients book — the visibility doesn't change, but clients can't book a spot. Only you can add participants. For a course, this blocks booking the whole course and booking single sessions.

Events and workshops don't have this checkbox. For an event that clients should see but not book online, read Workshops and courses without online booking (information only).

To stop only single-session bookings of a course (the Book this session button) and keep whole-course booking, leave both the visibility and the checkbox alone. Delete the course's per-session pricing option instead.

Common use cases

Preparing a new season

Create your classes and courses with visibility set to Private. Once the content and pricing are ready, switch them to Public.

Priority enrolment for the next run of a course

Set the new run to Link only and send the link to the clients who are finishing the current run, so they can take their spot before anyone else. Switch the course to Public when you want to open the remaining spots to everyone.

Temporarily removing an offering

Instead of deleting a class or cancelling sessions, set it to Private. You can bring it back later without losing any data.

FAQ

Does changing the visibility delete bookings or payments?

No. Visibility only decides where the class, course, or event shows up and who can book it. All bookings, payments, and history remain unchanged.

Can I still book clients into a Private class or course?

Yes. In the admin you see and manage it as usual, including adding clients with Add participant. The same goes for a Link only class, course, or event.

Can I make an event or workshop Private?

No. For events and workshops the picker offers only Public and Link only, and a Link only event stays bookable for anyone who has its direct link. If you don't want bookings at all, don't share the link.

Can I change the visibility of a class or course that has already finished?

Yes. A class or course that has finished stays in your admin, and visibility is the only setting you can still change. Open it and pick the option you want — all three are available.

A new class doesn't show on the public schedule. What should I check?

If clients can't see a class you created, check these settings:

  • Draft — if the class detail says This class is a draft. It isn't publicly visible., click Publish.

  • Visibility — in Advanced booking settings, check that it is set to Public. With Link only or Private the class is not on the public schedule.

  • What to show on your public page — in Settings › Schedule page, on the Public schedule tab, choose Group classes or Both. With Appointments only, your public page shows no group classes.

  • For courses and events, also check that they're not over your plan's limit. Those get the Over plan limit tag in the admin, and clients don't see them.
