Introduction to Appointments

Appointments is a Zenamu feature that lets you offer 1:1 bookable sessions to your clients — consultations, therapy sessions, personal training, massages, beauty treatments, and any other service where one specialist works with one client.

What are Appointments?

Appointments expand your offering with individual services. A client visits your public page, selects a service, a specialist, a date and time — and books their appointment right away.

What do Appointments include?

  • Services — Define what you offer (e.g., sports massage, nutrition counseling, personal training). Each service has its own duration, price, description, and additional settings.

  • Specialists — Assign specific people who provide the services. Each specialist can have their own pricing and description.

  • Availability — Set when your specialists are available — on a regular weekly basis or for specific dates.

  • Bookings — Clients book appointments through your public page. Bookings have clear statuses (pending, confirmed, cancelled, no-show).

  • Manual booking approval — Optionally enable approval mode, where you confirm or reject each booking before it becomes active.

  • Payments — Support for multiple payment methods including online card payments, PayPal, bank transfer, or on-site payment.

  • Email notifications — Automatic emails for clients and specialists (confirmations, reminders, cancellations, etc.).

  • Cancellation policies — Set rules for booking cancellations, including cancellation fees.

How to get started?

Setting up appointments involves three basic steps:

  1. Create a service — Define what you offer, set the duration, price, and other parameters.

  2. Assign a specialist — Choose who will provide the service and optionally set individual pricing.

  3. Set availability — Define when the specialist is available for bookings.

Once you complete these steps, clients will see your appointments on the public booking page and can start booking immediately.

Where do I find the settings?

In the Zenamu admin panel, go to Menu → Appointments. You'll find three tabs:

  • Bookings — Overview of all bookings, statistics, and a setup guide.

  • Services — Manage your services, categories, and pricing.

  • Specialists — Assign specialists to services and configure their availability.

Offering Discounted Packages for Appointments — Entry Passes or Credits?

If you want to sell packages of 1:1 sessions (for example "5 personal training sessions at a discounted price"), Zenamu gives you two options:

For most appointment packages, we recommend entry passes — they're easier to set up and easier for the client to understand. Use credits only if your services have meaningfully different prices.

How to set it up (entry pass approach):

  1. In Menu → Appointments → Services create your 1:1 service (for example "Personal training session").

  2. In Settings → Passes create an entry pass like "Package of 5 sessions" with 5 entries.

  3. In the service's pricing options add this pass with "entries per booking" set to 1 (1 entry = 1 session).

  4. The client buys the pass and, on each booking, 1 entry is deducted automatically.

Heads up

Make sure the "entries per booking" field on each service stays at 1 — if you accidentally set it to the total size of the pass (e.g. 5), the whole pass will be deducted in a single booking. See the warning in the Entry Passes article.
