This article is about managing a course, a series of sessions that clients book once for all dates. It covers adding participants, make-up sessions, templates, split payments, and adding, cancelling or rescheduling course sessions. Events and workshops have no sessions, so the session steps below don't apply to them.
How to Add a Participant After the Course Has Started?
Sometimes a client shows up for a class and you want to retroactively add them to a course that has already started. Here's how:
Click on the course you wish to manage.
Click on the Add participant button.
Choose Course to add the client to the course, or Session to book them into just one session.
Select which sessions you want to add the participant to. Upcoming sessions are selected already. You can also tick sessions that have already taken place.
The price is calculated automatically from the selected sessions: the course price is divided by the number of sessions that aren't cancelled and multiplied by the number of sessions you selected.
To charge a different amount, for example the full course price, choose Custom price and enter the total price for all selected sessions.
You can add participants this way even if the course doesn't allow Booking remaining sessions after the course starts. That setting only controls whether clients can book the rest of the course themselves.
How Do Make-Up Sessions Work?
When a client cancels a course session with enough advance notice, they receive one make-up session that can be used for another class, similar to an entry pass. This works only if the course allows make-ups: check Allow receiving make-up sessions in the Make-ups section of the course.
For more details on how clients use make-up sessions, refer to Setting Up Cancellation Policies and Make-Up Sessions.
How to Save Time When Creating New Courses or Workshops?
Once you’ve created a course, you can save time by using it as a template:
Click the Use as a template button.
Edit the new course as needed. Session dates aren't copied, so enter the new dates.
How to Split the Payment for a Course or Workshop?
Zenamu doesn't currently support splitting payments into a deposit and a remaining balance. However, there's a workaround: How Can I Split a Course or Workshop Payment Into a Deposit and a Balance?
How to Add a New Session to the Course?
To add a new session to a course:
In the course detail, click Add session.
Fill in the required details for the new session.
Clients who booked the whole course are added to the new session automatically. Clients who booked only a single session of the course aren't added.
How to Cancel a Session in the Course?
To cancel one session of a course:
Click on the session you want to cancel.
Click the Cancel this session button.
Enter a reason for the cancellation in the modal window, which will be emailed to your clients.
Zenamu doesn't refund clients who booked the whole course when you cancel one session. In the dialog, you confirm that you'll compensate them. Depending on your agreement with clients, you can offer a refund, add a pass or credits, or — the most common solution — add a replacement session (see above), which automatically includes everyone who booked the whole course.
Cancel this session is only for courses. Events and workshops have no sessions: you cancel the whole event with Cancel event in the event detail. To end a whole course early, see Courses: how to cancel a course early and notify participants.
How to Reschedule a Course Session to Another Day?
You can create a new session with Add session (clients who booked the whole course are added automatically) and cancel the original one.
This way, the cancelled session remains visible in your calendar, and your clients receive an email about the cancellation.
Since not every client may be able to attend the new date, be prepared to offer an alternative — such as a refund, pass, or credits.
